ISO 9001 certification costs: audit days, day rates and ongoing costs at a glance

How much does ISO 9001 certification cost?

The certification body’s fees are mainly calculated as the number of audit days multiplied by the day rate. For a company with 40 employees, the international rules in IAF MD 5 specify around 4 audit days for initial certification; at a day rate of €1,390 net, that comes to about €5,560 in audit costs alone, plus travel expenses and any further fees charged by the certification body. On top of this come the costs of preparation, software and internal working time, which depend heavily on your starting point.

In this article, you will learn how certification bodies calculate their fees, what audit costs to expect depending on company size, which ongoing costs arise and where you can save. For the requirements of the standard, see our overview ISO 9001 requirements for companies.

What are the cost components?

  • Certification body: audit days for Stage 1 and Stage 2, travel expenses, the certificate and administration such as application review and the certification decision. This is the component you can calculate most precisely.
  • Preparation: setting up the quality management system (QMS), documentation, internal audit and management review – with your own staff, external consultants or software.
  • Internal working time: time spent by management, process owners and employees on process descriptions, training and the audit itself.

How does the certification body calculate its fees?

Accredited certification bodies must determine audit time according to the mandatory document IAF MD 5 issued by the International Accreditation Forum. The starting point is the number of employees within the scope; part-time staff can be counted proportionally. The time is then adjusted:

  • More audit time: multiple sites, highly complex processes, in-house design and development, heavily regulated industries.
  • Less audit time: design and development requirements that justifiably do not apply, few similar processes, an office-only site, a mature management system or an existing certification with the same body.

As a rule, the reduction may not exceed 30% of the table values; exceptions apply to individual sites in multi-site certification. Each certification body sets its own day rate and further fees: TÜV Saarland, for example, lists €1,390 net per person-day for ISO 9001 in its price list (as of 1 February 2025), plus travel time at €85 per hour, €0.65 per kilometre and €95 per hour for project management such as application review and preparing the certification decision.

What does the audit cost by company size?

The following table combines the audit days from IAF MD 5 (Table QMS 1) with a day rate of €1,390 net. These are sample calculations for audit costs alone, excluding travel, surcharges and further fees – not quoted prices.

Employees Audit days, initial certification Audit costs, initial certification Surveillance audit per year
1–51.5approx. €2,085approx. €1,390 (1 day)
6–102approx. €2,780approx. €1,390 (1 day)
11–152.5approx. €3,475approx. €1,390 (1 day)
16–253approx. €4,170approx. €1,390 (1 day)
26–454approx. €5,560approx. €2,085 (1.5 days)
46–655approx. €6,950approx. €2,085 (1.5 days)
66–856approx. €8,340approx. €2,780 (2 days)
86–1257approx. €9,730approx. €3,475 (2.5 days)

Sources: audit days according to IAF MD 5 (2023 edition), Table QMS 1; day rate according to the TÜV Saarland Certification price list (as of 1 February 2025). According to IAF MD 5, surveillance audits take about one third of the initial certification audit time, rounded to the nearest half audit day and in practice usually at least one day. The actual audit time is set individually by the certification body.

What do preparation and internal working time cost?

These costs cannot be stated as a flat figure because they depend mainly on your starting point. The key factors are:

  • Existing structures: if you already have documented processes, a ticketing system for corrective actions or a management system under ISO 27001, the effort drops considerably.
  • Documentation: which requirements and records the standard expects is covered in our article Which documents are required for ISO 9001?.
  • Approach: your own resources, external consultants or software with templates and expert support.
  • Training: employees need to know their role in the QMS; the standard requires evidence of competence (Clause 7.2).

What ongoing costs arise after certification?

The certificate is valid for three years. During this period, recurring costs arise:

  • Surveillance audits in years 1 and 2 after certification: each about one third of the initial certification audit time, rounded to the nearest half audit day.
  • Recertification audit after three years: according to IAF MD 5, normally about two thirds of the time an initial certification would require at that point. If your company has grown, the audit time increases too.
  • Running the QMS: internal audits, management review, training and, where applicable, software or consulting costs.

What does the transition to ISO 9001:2026 cost?

ISO 9001:2026 has applied since 16 September 2026. The transition of existing certificates must be completed by 30 September 2029 at the latest; this does not extend the regular term of a certificate. The transition usually takes place during a regular surveillance or recertification audit. Whether additional audit time is needed is decided by the certification body – ask about it in the quote. For the content changes, see our article ISO 9001:2026: What changes with the new version?.

How can you save costs?

  1. Check the audit days: compare the audit days quoted with the table above. State the effective number of employees and count part-time staff proportionally.
  2. Justify the scope properly: if the design and development requirements justifiably do not apply to your products and services, you can mark Clause 8.3 as not applicable in your scope. This can reduce audit time. Outsourcing development alone is not enough.
  3. Use remote elements: document reviews and interviews can partly be carried out remotely, which saves travel costs.
  4. Compare several quotes: compare day rates, travel expenses and additional fees, for example for project management. Make sure the body is accredited by DAkkS.
  5. Combine audits: if you are already certified to ISO 27001, an integrated audit with the same body can save audit time.
  6. Go into the audit well prepared: follow-up audits and the review of corrective actions are charged separately. A complete internal audit and management review before the certification audit reduce the risk of additional reviews and costs.

Conclusion

The certification body’s fees are easy to predict: audit days according to IAF MD 5 multiplied by the day rate, plus travel expenses and any further fees. For a company with 40 employees, that comes to around €5,560 net in audit costs alone for initial certification and around €2,085 (1.5 audit days) for each surveillance audit. The larger and less predictable item is usually preparation: setting up documentation, records and responsibilities in a structured way is where you save the most.
